What we collect
When you contact us, we collect the details you provide: your name, phone number and/or email address, postcode, service requested, property type and message. We also record the enquiry time and originating page. Please only include information needed to discuss your project and avoid sending sensitive personal information.
For security and reliable enquiry handling, we record a user-agent string, a one-way hash derived from your IP address and site identifier, duplicate-detection data, and indicators used to review potentially unwanted messages. The enquiry record does not store the raw IP address. Cloudflare may separately process connection and request information to deliver and protect the website.
Why we use it and our lawful bases
We use enquiry information to respond, discuss and assess your proposed work, arrange an appointment and prepare a quote. Where you ask us to take steps towards entering a contract, our lawful basis is taking steps at your request before a contract. For general enquiries, service administration, duplicate prevention and security, we rely on legitimate interests in running the business and responding reliably.
We do not use an enquiry as consent to send marketing. Automated checks may flag a message for review, but they do not make a decision with legal or similarly significant effects about you.
Who processes the data
Authorised people handling enquiries for Eco Coatings can access the information needed for that purpose. Our website host is Cloudflare. PHD Networks & Systems Ltd manages the website and enquiry handling on our behalf. Enquiry information is stored in the website’s database and routed through the enquiry-handling service managed by PHD. Service providers may use contracted infrastructure suppliers to perform these tasks.
We do not sell enquiry information. We may disclose data where required by law, to protect legal rights or where necessary to provide the service you request. Where a supplier processes personal data outside the UK, applicable UK data-protection transfer safeguards are required, such as adequacy arrangements or approved contractual safeguards.
Retention and security
Website enquiry records are retained for 24 months, then deleted or anonymised unless a specific legal requirement or dispute requires longer retention. If you become a customer, records needed to fulfil the work or meet legal accounting duties are handled separately for those purposes.
Access is restricted to people who need it for administration and enquiry handling. Security controls help protect information in transit and storage. Contact us promptly if you believe information sent through the website needs correction or additional protection.
Cookies and analytics
This build uses no advertising or analytics tags and no optional tracking cookies. Essential technical processing may be used by the host to provide and protect the service. The site records a successful enquiry event in the browser without contact details; no analytics destination is enabled.
Your rights
Depending on the circumstances, you can ask for access, correction, deletion, restriction or portability of your data. We may need to verify your identity and explain any legal limit on a request. There is normally no charge, and we normally respond within one month. Providing enquiry information is voluntary, but without a contact method we cannot respond.
To exercise a right or raise a privacy concern, use the enquiry form on our contact page or call 07801 449166. You can also complain to the Information Commissioner’s Office at ico.org.uk. We would welcome the chance to address your concern first, but you do not have to contact us before approaching the ICO.
Your right to object
You can object to our use of your personal data where we rely on legitimate interests. Tell us your circumstances through the enquiry form on our contact page or by calling 07801 449166. We will consider the request and explain any lawful grounds for continuing the processing.
Enquiry automation and transfer information
Where enabled, Make relays enquiries as part of the service managed by PHD Networks & Systems Ltd, with Resend used as a backup email service if Make is unavailable. This sends a copy of the enquiry by email so John can respond. You can ask for information about the applicable international-transfer safeguards, and how to obtain a copy, through the enquiry form on our contact page or by calling 07801 449166.
Visit the Information Commissioner’s Office for information about making a data-protection complaint.
